Subject: Accessible Organizational Charts

Hello all,
I'm looking for a recommended best practice for creating and maintaing
accessible organizational charts. Currently, a secretary from our Deans
Office maintains one in list form in HTML and maintains the other
traditional style org chart in Word which is then converted to PDF.
Samples of each are at

If you compare the two versions, you'll see the information doesn't
match. Ideally, she should only have to maintain one version and the
preferred format from the folks in the Dean's Office is the traditional
style in PDF. Tools available to her are Dreamweaver, Office and
Acrobat Distiller. I'm willing to create an HTML template for her.
Accessible samples for reference would be appreciated.

I like nested lists for accessible organizational charts. At a quick
glance, I think this would work for this example. Sorry, I don't have an
example handy at the moment.

Regarding the HTML version, I think the information lends itself to tables
quite fine with some minor modifications. The group title, such as
"Associate and Assistant Deans" could be structured as a caption (which then
may be styled as you have it now) and then put "Name", "Title" and "Email
Address" within <th>s at the top of each column and you should be fine.
The problem with your "graphical" PDF is that the relationships are
difficult to interpret if you you just read the text alone.
...and yes, the two documents don't match each other. I think you may have
to restructure the org chart so that using text, the groupings are clear -
perhaps nested lists? Nested lists would be valid (in an HTML sense) but I
am not clear that they would be understood properly when the nesting is
deep.

Addressing only the problem of maintaining two versions, I have been
using a great product for these types of organization/planning tasks.
It generates a graphic and outline format from the same information.
Both are fully customizable and you can move back and forth between the
two. It will export to Word or HTML but I would be more likely to copy
and paste for final tweaking of the html. The software is Inspiration
at it is available at
http://www.inspiration.com/productinfo/inspiration/index.cfm. The cost
is $69, there is a 30-day, fully functional demo and it is available
for Windows or Mac.

If the info is not that extensive, putting it on Excel or ms.visio may be an answer. Even if the info is extensive, to make it accessible is important. Can cut & paste Excel to Word to eliminate the lines and boxes, which should be accessible. ms.visio has org charts.
For example you can of course put excel or word on email as an attachment, can put many kinds of files on as email attachments. Hope this isn't an oversimplification of the problem. Webaim has been very helpful on providing info about accessibility.
