Rex,

I think this happened because the Telecommunications SC meeting for today
was not on the master calendar when I set up today's Web and Software SC
meeting on the 24th. I think this is a one-time collision. Web and Software
will normally be meeting on Wednesdays and is only meeting today because of
the TEITAC meeting conflict on Wednesday.

I apologize for the conflict but I think it is too late to change because
of the captioning that has been scheduled and because of the TEITAC meeting
this week.

It is my view that we "tolerate" for today the double schedule and that
when we meet this week as plenary, the various chairs can try to get
some clarity on schedules for the next few months. Telecomm subcomm.
Has agreed to hold Mondays at 2 pm as a standing time for its meetings.
We are hoping this can hold going forward.

that the schedule will be decided after consultation among co-chairs of the
parent and sub-committees and secretary.



The Wiki calendar shows that the February meeting will be from 6 to 8, and
the March meeting will be from 27 to 29. Is it the conclusion of the
consultation? Or will you change the meeting schedule?



I would like to ask you to announce the final conclusion ASAP so that we can
plan our trip from LA to DC, from DC to LA or LA only.

Just wanted to let you all know our current status on future TEITAC meeting dates:



As of the end of the Sept. 2006, TEITAC meeting, the Committee projected the following meeting schedule:

* November 8-9, 2006; [HELD]
* February 6-8, 2007; [To be held on those dates; still finalizing a venue. It will be in DC]
* March 27-29, 2007; [Under discussion. See THIS email]
* May 22-25, 2007; [Under discussion. See THIS email]
* and July 25-27, 2007. [WILL CHANGE. Possibly Sept. 2007. See this email.]

March 2007 Meeting:

The Access Board staff and co-chairs are going to finalize dates for March 2006. Professor Yamada is correct in that we discussed some possible changes to the March 2007 date, since both CSUN and CTIA have conferences in that month. This was discussed at the teleconference with the co-chairs, subcommittee co-chairs and Access Board staff on 11/17/2006.

* As a possible solution, we MIGHT consider moving the March 2007 meeting date to April 2007. On the other hand, we MIGHT leave the proposed March 2007 date right where it is currently (March 27-29, 2007) The consensus of the subcommittee co-chairs on the teleconference was to let AB staff and the co-chairs finalize the March 2007 date. [Mike and Jim, I will contact you under separate cover re: when AB staff and you talk. Thanks.]

IF anyone has any violent objections to moving the March meeting to April 2007 (avoiding any religious holidays, etc. to the extent that we can identify any potential conflicts) PLEASE LET ME KNOW, IDENTIFYING ANY CONFLICTS. [I already have the religious holidays noted. Anything else? ]



IF YOU DON'T OBJECT TO THE IDEA OF HAVING A MEETING IN APRIL, YOU DON'T NEED TO SAY ANYTHING.



N0NE OF THIS IS YET SET IN STONE. Until we affirmatively say something, assume that the original meeting dates as announced at the end of the Sept. 2006 TEITAC meeting apply



MAY 2007:

* In addition, we MAY shift the MAY meeting date [currently May 22-25, 2007] by one day, to avoid travel on the Friday before Memorial Day weekend. ;

* WE WILL ANNOUNCE ANY CHANGE to the MAY 2007 Dates if/when they happen.
* Milestone at the MAY 2007 meeting: At that time, the Committee will take a look at the status of the Committee's work, and give the Access Board staff some idea of whether or not they might want MORE meeting dates. That is, would the Committee want MORE working meetings after May 2007, or would the report be ready at the first meeting after the May 2007 meeting? [Currently the 6th meeting is set for July 25-27, 2007, but this date will change. See below]

JULY 2007:

* The original meeting date is July 25-27, 2007. This WILL change. There WILL NOT be a meeting in July 2007. Why? The Access Board decided at their November 2007 to hold an out of town meeting in Denver, CO in July 2007. The most likely time for a 6th meeting will be in SEPTEMBER 2007. WE are looking at Sept. 2007 dates now.

extent possible, it will be provided. Sometimes, because of the rules
for that particular venue, we cannot guarantee it. Case in point: Dept.
of ED would NOT guarantee that we would have internet access for
everyone, since they only had one "official" link in the room, which we
used at the podium for presentations. As things worked out, however, I
think people's wishes were met.

consensus of the subcommittee co-chairs on the teleconference was to let

I think that we need to do better than "we'll get it if we can get it".
Electricity is a requirement, chairs are a requirement, and internet
access should be a requirement. If we can't have internet access at the
site, we shouldn't consider that site. Many of the participants need to
be able to communicate back with an office and even to chat with
co-workers to get opinions on what is going on in the meeting. Internet
access needs to exist and needs to be not so tightly locked down that
email and chat are prohibited - we need these tools for a productive and
efficient process!

I would like to second Andrew's statement regarding Internet access - with
sufficient time to plan, Internet access should be a minimum requirement for
a venue. It does facilitate communication at the meetings in a positive
manner.



I would also strongly encourage the Access Board to reserve a block of rooms
at a nearby hotel (or hotels) at the government rate to make it easier for
those of us traveling to meetings on a tight budget. With this many months
in advance to plan, securing a block of rooms at the government rate should
be possible for all of the remaining meetings, as should picking venues with
Internet access.

I can attend the February meeting without problem. In the case the March

I saw no response to Yamada's query regarding LA vs DC. I don't have
funding for west coast venues, per the initial announcement that all
meetings would be in DC, so I need an early heads-up if there's a west coast
meeting to negotiate "change in scope" contract changes!



I agree we need a firm commitment on access to internet. I DISAGREE that
people's wishes were met at the DoEd- I couldn't get adequate connection,
and was surprised that access was not a requirement for the venue to begin
with.

* As a possible solution, we MIGHT consider moving the March 2007
meeting date to April 2007. On the other hand, we MIGHT leave the proposed
March 2007 date right where it is currently (March 27-29, 2007) The
consensus of the subcommittee co-chairs on the teleconference was to let AB
staff and the co-chairs finalize the March 2007 date. [Mike and Jim, I will
contact you under separate cover re: when AB staff and you talk. Thanks.]

IF anyone has any violent objections to moving the March meeting to April
2007 (avoiding any religious holidays, etc. to the extent that we can
identify any potential conflicts) PLEASE LET ME KNOW, IDENTIFYING ANY
CONFLICTS. [I already have the religious holidays noted. Anything else? ]



IF YOU DON'T OBJECT TO THE IDEA OF HAVING A MEETING IN APRIL, YOU DON'T NEED
TO SAY ANYTHING.

* In addition, we MAY shift the MAY meeting date [currently May 22-25,
2007] by one day, to avoid travel on the Friday before Memorial Day weekend.

* Milestone at the MAY 2007 meeting: At that time, the Committee will
take a look at the status of the Committee's work, and give the Access Board
staff some idea of whether or not they might want MORE meeting dates. That
is, would the Committee want MORE working meetings after May 2007, or would
the report be ready at the first meeting after the May 2007 meeting?
[Currently the 6th meeting is set for July 25-27, 2007, but this date will
change. See below]

* The original meeting date is July 25-27, 2007. This WILL change.
There WILL NOT be a meeting in July 2007. Why? The Access Board decided at
their November 2007 to hold an out of town meeting in Denver, CO in July
2007. The most likely time for a 6th meeting will be in SEPTEMBER 2007. WE
are looking at Sept. 2007 dates now.

At the previous meeting, we discussed about meeting schedule (especially
about a possibility of March meeting coincides with CSUN). And we concluded
that the schedule will be decided after consultation among co-chairs of the
parent and sub-committees and secretary.

The Wiki calendar shows that the February meeting will be from 6 to 8, and
the March meeting will be from 27 to 29. Is it the conclusion of the
consultation? Or will you change the meeting schedule?

I would like to ask you to announce the final conclusion ASAP so that we can
plan our trip from LA to DC, from DC to LA or LA only.
