Subcommittee meeting protocols

Below are proposed protocols for subcommittee teleconference meetings. This is a summary and clarification of the previous message - Announcement_10.13.2006

Meeting Creation and Public Notice Protocols

  1. Allow two business days advance, public notice. It is the responsibility of subcommittees, not the Communications Task Force, to see that notice is given for your meetings. Sufficient notice is given by having the meeting details listed on this wiki and on the calendar.
  2. Check the calendar for meeting conflicts – http://teitac.org/calendar/
  3. Reserve RCC – http://www.fedrcc.us/ RCC services are required for each meeting. RCC is only available between 8 a.m. and 5 p.m. Easter Time. Tom Brett can assist in RCC reservations upon request.
  4. Post notice to the wiki. Include meeting date/time, connection details, and RCC ID. This information can be posted to the subcommittee wiki page or on another wiki page.
  5. Request that your meeting be added to the calendar. There is a form at bottom of calendar page. Include the URL of your wiki notice page.
  6. After your meeting, you may post meeting notes and action items to wiki.

During the teleconference...

  • Use the TRACE Online Hand Raising Utility - http://teitac.org/tohru/ (this tool is still under development)
    • The call moderator can add you to the Hand Raising queue if you aren’t online.
    • Additional details and instructions are available on the utility page.
  • Mute yourself if you are not speaking.
  • Use a reliable connection. Cell phones are often problematic. Use Skype only on very fast connections.
  • Identify yourself when speaking.
  • Speak clearly and at a reasonable speed.
  • For better voice quality, when possible, use the handset of your telephone, not the speakerphone.
