Where I work, a lot of teams use SharePoint and its internal workflow
system. While I don't know if backend things needed to be altered, but
everybody gets an e-mail, which says "ok it's your turn to do your part",
and brings them to the section they need, versus just throwing them into
the system and navigate to the page they need
